Gainsborough Old Hall School Travel Bursary Scheme Terms and Conditions
These terms and conditions apply to all education visits using the Gainsborough Hall Bursary Scheme. For the purposes of these terms and conditions, “English Heritage” means the English Heritage Trust, a charity caring for the National Heritage Collection of more than 400 historic properties and their collections. The English Heritage Trust is incorporated and registered in England and Wales with company number 07447221 and charity number 1140351 whose registered office is at the Engine House, Fire Fly Avenue, SN2 2EH
Terms and Conditions
1. As part of the Gainsborough Old Hall, New Beginnings project, the Gainsborough Old Hall school travel bursary scheme (“the Bursary Scheme”), which has been made possible thanks to the Friends of Gainsborough Old Hall, aims to support children and young people engage and connect with heritage.
2. The Bursary Scheme shall run from 1 September 2024 until 31 January 2026 or until the bursary funds have been fully awarded, whichever is earlier.
3. The bursary funds shall be used for the sole purpose of accommodating a school visit to Gainsborough Old Hall as follows:
- schools can request funds to cover up to three Discovery Visit sessions (to a maximum of £300.00 per school). All session to be undertaken during a single day trip; and/or
- schools can request funding for transport to and from Gainsborough Old Hall (to a maximum of £400.00 per school).
4. The bursary funds cannot be transferred or auctioned and no cash or other alternative to the funds will be offered.
Application
5. To apply for the Bursary Scheme, schools must meet the below eligibility criteria:
- have at least 23% of its pupils eligible for free school meals; and
- be located within a 40-mile radius of Gainsborough Old Hall.

7. Applications shall be considered in order of receipt, on a first come first served basis.
8. Incomplete, illegible, invalid, misdirected, or late applications will not be accepted. Proof of sending will not be accepted as proof of delivery. English Heritage takes no responsibility for applications delayed, incomplete or lost due to technical reasons or otherwise.
9. School eligibility will be checked by the Community Engagement Officer. The Community Engagement Officer’s decision is final, and no correspondence will be entered into regarding eligibility criteria or the application outcome, other than for the purpose of arranging the visit.
10. Once a school has been notified that their application has been successful, it is the school’s responsibility to book their own visit date and session(s).
11. For Discovery Visits, schools will be issued with a unique code to quote when booking a Discovery Visit through English Heritage’s online booking system. The Discovery Visit session(s) can be redeemed between 1 September 2024 and 31 January 2026.
12. For transport funding, schools should submit with their application a quote from the transport provider (i.e. a coach company) to prove travel costs. Once an application has been approved, payment will be made directly to the transport provider on receipt of an invoice connected to the travel for the trip.
Visit
13. Schools must book their visit to Gainsborough Old Hall as part of the Bursary Scheme by no later than 31 January 2026 and must ensure that their visit to Gainsborough Old Hall as part of the Bursary Scheme takes place no later than 31 March 2026.
14. Schools should refer to English Heritage’s website and Education Visit terms and conditions when planning their visit to Gainsborough Old Hall.
15. Schools can cancel or amend their booking up to two weeks prior to their visit date by contacting the Community Engagement Officer. If a school wishes to amend their booking less than two weeks prior to its visit or if a school fails to attend on the day of its visit, English Heritage reserves the right to offer a rescheduled visit date prior to 31 January 2026. If a school cancels their booking for any reason, fails to attend on the day of its visit or cannot attend another date and English Heritage cannot recover the transport costs from the transport provider, the school shall be liable to English Heritage for the transport funding and must return a sum equivalent to the transport funding to English Heritage within 28 days. If the school fails to attend and/or reschedules its visit and incurs extra travel costs, no further bursary funds shall be paid by English Heritage.
16. If English Heritage must cancel or reschedule a school’s visit due to unforeseen circumstances, English Heritage will encourage the school to contact their transport provider to see if they can move any pre-booked travel. Should this not be possible, and extra costs are incurred, in this instance only and only if there are bursary funds remaining, English Heritage may consider paying additional transport funding.
General
17. English Heritage may from time-to-time change, alter, adapt, add, or remove sections of these terms and conditions. Any changes will be published on the English Heritage website.
18. By applying to the Bursary Scheme, applicants are agreeing that any personal information provided with the application may be held and used by English Heritage or its agents and suppliers to administer the Bursary Scheme. All personal data provided to English Heritage will be held and processed in accordance with the requirements of all legislation and regulatory requirements in force from time to time relating to the use of personal data and the privacy of electronic communications, including (i) the Data Protection Act 2018 and any successor UK legislation, as well as (ii) the UK GDPR; and (iii) the Privacy and Electronic Communications Regulations 2003 (SI 2003/2426) as amended. English Heritage will keep the applicant’s personal data safe and secure. English Heritage will not share it with other organisations without the applicant’s knowledge and consent, unless required by law to do so. English Heritage will keep the applicant’s personal data only for the purposes of communicating with the applicant regarding this Bursary Scheme. The applicant shall have the right to withdraw their consent at any time. The withdrawal of consent shall not affect the lawfulness of processing based on consent before its withdrawal.
19. English Heritage reserves the right to cancel the Bursary Scheme at any stage if deemed necessary in its opinion, and if circumstances arise outside of its control.
20. Applying to the Bursary Scheme signifies acceptance of these terms and conditions. English Heritage reserves the right to withhold, change or cancel any bursary funds in the event of non-compliance with these terms and conditions.

22. These terms and conditions shall be governed by and construed in accordance with the laws of England and Wales and the courts of England shall have exclusive jurisdiction in relation to any disputes arising out of these terms and conditions.
